Automations are comprised of Triggers and Actions which can perform a variety of time-saving tasks. All Automations will consist of a Trigger<\/strong>; which is an event that causes an Automation to run, and an Action <\/strong>which is what will happen when the trigger occurs.<\/p>\n\n\n\n

To configure Automations in your database you must be a Full System Administrator.<\/p>\n\n\n\n

Canned Automations<\/h2>\n\n\n\n

The system comes pre-loaded with ‘canned automations’ for common tasks like sending a Form Letter when a new Position is created, adding or removing a record from a list if it contains a specific field value, sending a notification when a Contract assignment is about to end, or when a new applicant arrives via the Job Board.<\/p>\n\n\n\n

  1. Select Settings<\/strong> from the Main Menu<\/li>\n\n\n\n
  2. Select Database Setup<\/strong><\/li>\n\n\n\n
  3. Choose Automations<\/strong><\/li>\n\n\n\n
  4. A grid of template automations appears. Click the canned automation you\u2019d like to enable.<\/li>\n\n\n\n
  5. In the popup, click each of the underlined items<\/strong> to set the details of your particular automation.<\/li>\n\n\n\n
  6. Click Enable<\/strong> when finished to activate the automation.<\/li>\n<\/ol>\n\n\n

    Custom Automations<\/h2>\n\n\n\n

    In addition to the Canned Automation Templates, you also have the ability to build a Custom Automation. This is done by doing the following:<\/p>\n\n\n\n

    1. Select Settings<\/strong> from the Main Menu<\/li>\n\n\n\n
    2. Select Database Setup<\/strong><\/li>\n\n\n\n
    3. Choose Automations<\/strong><\/li>\n\n\n\n
    4. Click Build an Automation<\/strong><\/li>\n\n\n\n
    5. Click Trigger<\/strong><\/li>\n\n\n\n
    6. Choose your desired Trigger<\/strong> from the dropdown<\/li>\n\n\n\n
    7. Click Action<\/strong><\/li>\n\n\n\n
    8. Choose your desired Action<\/strong> from the dropdown<\/li>\n\n\n\n
    9. Click Build <\/strong><\/li>\n\n\n\n
    10. The words Trigger and Action have now been replaced with the Trigger and Action you chose. Click the Trigger<\/strong><\/li>\n\n\n\n
    11. Make the appropriate selections for the selected Trigger<\/li>\n\n\n\n
    12. Click the Action<\/strong><\/li>\n\n\n\n
    13. Make the appropriate selections for the selected Action<\/li>\n\n\n\n
    14. Click Enable<\/strong>. Your Automation is now enabled moving forward.<\/li>\n<\/ol>\n\n\n
